You can scan the documents and then use a OCR reader + chatgpt or some other software that automatically extracts the data.
This is not uncommon and a practice used by many companies.

I thinking that maybe you can try implement an ERP product with a db to manage and keep invoices (but usually are expensive) and also you can integrate it with an OCR to scan the physical documents
